Privacy policy

This policy describes our actual practice in plain language, but it has not been drafted or reviewed by a lawyer. Before this site handles commercial volumes, have your legal adviser check it against the Digital Personal Data Protection Act 2023 and your own operations.
This policy explains what personal data NextGenManager Systems ("we", "us") collects through ngmerp.in, why we collect it, and what you can do about it. It covers this website only. Data you enter into the NextGenManager application as a customer is governed by your service agreement with us, where you are the data fiduciary and we act on your instructions.

What we collect
Information you give us
When you submit the demo, contact or quote form, we receive whatever you put into it:
- Your name and company name
- Your email address and, if you provide it, your phone number
- Your role, city, and details about your manufacturing process
- Anything else you write in the message field
We ask for a work email and company because we sell to businesses. Please do not include sensitive personal information, financial account details or third parties' personal data in the free-text field — it is not the right channel for any of that.
Information collected automatically
Our hosting provider keeps standard server logs — IP address, timestamp, page requested, browser user-agent — which exist for security and diagnostics and are retained for a short period.
If analytics is enabled on this site, it runs only after you accept it via the cookie banner. Decline, and no analytics script loads at all. See the cookie policy for detail.
What we do not do
- We do not sell or rent your personal data. Ever, to anyone.
- We do not run advertising pixels or retargeting trackers.
- We do not add you to a marketing list because you filled in a form. If you ask a question, you get an answer, not a newsletter.
- We do not build behavioural profiles of visitors.

Who else sees it
We keep the list of processors deliberately short:
- Web3Forms — processes form submissions and delivers them to us by email. Your form data passes through their service.
- Our web host — serves the site and holds server logs.
- Our email provider — where your enquiry lands and where our reply is composed.
- Google Analytics — only if you accepted analytics cookies.
We do not share your details with resellers, partners or lead-generation companies. We may disclose data if required by law, but we will tell you unless legally prevented from doing so.
How long we keep it
- Enquiries that go nowhere: deleted within 24 months.
- Enquiries that become customers: retained for the relationship and afterwards as long as tax and contract law require.
- Server logs: a short rolling window, typically weeks.
- Analytics: per the retention setting configured in the analytics account.
Your rights
Under the Digital Personal Data Protection Act 2023 you can ask us to:
- Show you the personal data we hold about you and what we have done with it
- Correct anything inaccurate, incomplete or out of date
- Erase your data where we no longer have a reason to keep it
- Withdraw consent at any time, as easily as you gave it
- Nominate someone to exercise these rights if you are unable to
- Complain — to us first, and to the Data Protection Board of India if we do not resolve it
Email support@ngmerp.in and we will respond within 30 days. There is no charge. We may ask you to confirm your identity so we do not disclose your data to somebody else.
Security
The site is served over HTTPS. Access to enquiry data is limited to the people who need it to reply to you. Our approach to protecting customer data in the product itself is set out on the security page.
No system is perfectly secure. If a breach affects your personal data, we will notify you and the Data Protection Board as required.
Children
This is a business website not intended for children, and we do not knowingly collect data from anyone under 18. If you believe a child has submitted data, tell us and we will delete it.
International transfers
Our processors may store or process data outside India. Where that happens, we rely on the provider's contractual protections. Customer data in the NextGenManager product is hosted in India, or on your own premises on the Enterprise plan.
Changes
If we change this policy we will update the date at the top. Material changes affecting how we use data already collected will be notified directly to anyone affected.
